 We are seeking a bright and skilled receptionist to oversee our front desk every day and handle a range of clerical and administrative duties. As a receptionist, you will serve as our company’s initial point of contact. In addition to answering phones and receiving messages, you will be responsible for sorting and distributing mail, directing clients to other areas of the office, and alerting staff members about visitors. Along with expediting office processes, you should be able to handle emergencies quickly and effectively. For this role, the ability to multitask and manage stress is crucial. Flexibility is advantageous because this position may demand working in shifts.

Responsibilities 

  • Among your duties are making sure the front desk greets visitors with a smile and carrying out all administrative duties to the highest possible standard.
  • As soon as visitors arrive at the workplace, greet and welcome them.
  • Inform staff of the coming of the visitor.
  • Keep the telecommunications and security systems operational.
  • Give guests a suitable response to all of their questions.
  • Incoming calls are answered, screened, and forwarded as needed.
  • Keep department and personnel directories up to date.
  • Daily mail and deliveries should be received, sorted, and distributed.
  • Uphold security by giving visitor credentials, keeping an eye on logbooks, and adhering to protocols.
  • Follow the manufacturer’s instructions to operate the home phone and console when using the telecommunications system.
  • By recording and sharing activities, anomalies, and ongoing requirements, work teams can maintain continuity.
  • When necessary, complete relevant tasks to support teamwork.
  • Make sure the reception area has all the required supplies and stationery and is neat and attractive.
  • Purchase goods for the front desk and maintain stock levels.
  • Set up meetings and update calendars.
  • Make travel and lodging arrangements and create vouchers.
  • Do additional clerical receptionist tasks such as photocopying, faxing, transcribing, and filing.

Education and requirements 

  • Bachelor’s or diploma in any discipline.
  • Shown experience working as a front desk agent, receptionist, or in a comparable position.
  • Strong communication skills, both in writing and speaking.
  • Outstanding capacity for organization.
  • Proficiency in Microsoft Word, Excel, and Outlook program suites.
  • Strong time management abilities.
  • Familiarity with clerical and administrative processes.
  • Practical knowledge of office supplies like printers and fax machines.
  • Time management and multitasking abilities, as well as the capacity to set priorities
